Email Monitoring

OctoWatch intercepts incoming and outgoing email messages, indexes, and saves them. Monitoring email is an important component of an internal threat detection system and preventing data loss. OctoWatch analyzes correspondence, sending alerts in case confidential information is detected.

Features:

  • Email interception is supported via IMAP, POP3, and SMTP protocols, Outlook, and most web services (Yandex.Mail, Gmail, Mail.ru, RoundCube, etc.).
  • The subject and body of the email, sender and recipient, as well as attachments are saved and indexed.
  • Support for HTML and plain-text email formats.
  • Notifications can be configured upon detection of keywords in any of the email fields (e.g., subject, content, recipient, etc.).
  • Notifications can also be set in case emails are sent to non-corporate accounts or suspicious email addresses.
  • Outgoing and most types of incoming messages are tracked. It is possible to determine if there is an unacceptable delay in responding to emails containing important requests.
  • Analyzing correspondence will help identify dissatisfied employees before they become a threat to the business.
  • Monitoring communication with clients is extremely important for understanding the quality of customer service and employee competence. The standard set of rules includes dictionaries of profanity, and you will be notified if employees express themselves inappropriately.

Why it is important to monitor employees' email

The reason is simple: to eliminate the risks of information leaks. And it's not just about selling information to third parties, but also about plain negligence, which can later lead to financial losses due to disclosed information.

Another use of intercepted messages is to track the behavior of employees who are losing loyalty to the company and want to resign. In some cases, the departure of key employees can also negatively impact business activity, and it is useful to learn about such intentions in advance.

The OctoWatch system allows monitoring and analyzing correspondence, including setting filters based on keywords, attached files, etc.

Management of 28% of domestic companies monitors employees' email correspondence, and about 7% also control communication via messengers. This statistic was obtained from a survey initiated by the analytical department of OctoWatch.
