What is active and idle time tracking software?

Idle time tracking software watches keyboard and mouse activity on company PCs and splits the workday into active time (input detected) and inactive time (no input after a set threshold). Marketing sites usually call those inactive stretches “idle time.” In the OctoWatch Web Console, the same periods show up as inactive in reports and on Overview.

OctoWatch also tracks presence time—from the first activity of the day to the last—and feeds all three metrics into Timesheet attendance, Productivity analytics, and Day viewer timelines on Windows workstations and Terminal Server / RDS sessions. Nobody has to clock in.

Short pauses under your inactive delay still count as active time. The Grabber waits for the full threshold (default 30 seconds) before switching to inactive, so a quick stretch at the desk does not pad idle totals.

Automatic active and inactive time on Windows

Being logged in is not the same as working. Timers and punch clocks rely on people to start and stop them, so gaps and padded hours slip through. The OctoWatch Grabber runs in the background on endpoints you control and tracks input continuously: active time when the keyboard or mouse moves, inactive time when input stops longer than your threshold, and presence time from the first activity of the day to the last.

Admins review the results in the Web Console instead of chasing status updates. Active and idle measurement is included on both Time Tracking and Employee Monitoring plans. Deeper capture—screens, Live view, Risks—depends on the edition and profile settings. Compare plans on Pricing.

How OctoWatch decides active vs inactive

One Settings Profile switch turns on the Time Tracking analytics stack for each endpoint.

Enable

Activity toggle

Turn on Activity in the Settings Profile. You need it for Time Tracking reports in the Web Console, including Activity, Productivity, Chrono, and Timesheet.

Threshold

Inactive delay

Delay before switching to inactive mode (Settings Profile → Activity). Default: 30 seconds without mouse or keyboard input. Assign different profiles to different roles or groups.

Context

Per app and website

Active and inactive time is tracked inside each application and website row on the Activity tab. App and URL capture settings are covered on Application & Website Monitoring.

Attendance

Workday boundaries

Only active time counts toward attendance. The first activity of the day marks workday start; the last activity marks end—enough for many teams to drop a punch clock.

Active time vs idle time: what’s the difference?

Most tools report only active and idle. OctoWatch adds presence time so you can tell “at the desk all day” from “actually engaged.”

Metric What it measures Where you see it
Active time Keyboard and mouse activity, including the configured delay before inactive mode starts Activity, Productivity, Timesheet
Inactive time Periods with no input after the inactive threshold; the session may still be open Day viewer unfilled bands; Day structure hourly view; Overview and Analytics totals
Presence time Interval from first to last activity for the day Analytics → Presence and Activity reports

High presence with low active time deserves context before anyone treats it as a problem—meetings, reading, or Always Active Time categories can explain the gap. Pair active minutes with Productivity Categorization to see productive vs unproductive time, not just keyboard time vs idle. The Anomalies tab flags tardiness, absences, and overtime from Timetable data; see Risks & Anomalies for how investigations fit together.

Where admins review active and idle patterns

The same Grabber data shows up in several console views. Use the one that matches the question you are asking.

Summary

Overview

Period summary for selected users. Hover Top Users on Overview for an active and inactive breakdown—not a live “right now” board. For real-time screens on Employee Monitoring plans, see Live View.

Ranked usage

Activity

Top apps and websites by active time, with active and inactive columns on each row and productivity category colors.

Feed

Chrono

Timed feed of recent apps and sites. Gaps between entries help reconstruct idle stretches when you are digging into a day.

Calendar

Timesheet

Calendar attendance built from active time. Red and green backgrounds flag underperformance, absences, tardiness, early leave, and overtime against the Timetable Profile.

Visual gaps

Day viewer

Daily productivity graph: green, yellow, and red for productive, neutral, and unproductive time. Unfilled areas show periods with no user activity. Details on Day Viewer.

Compare teams

Productivity & Analytics

Productivity includes an internal Activity comparative metric. Analytics → Presence and Activity compares users and groups to averages for the selected period.

When no keyboard input still counts as active work

Video calls, training players, and conferencing often mean little keyboard or mouse movement. On the Categorization tab, turn on Always Active Time for selected apps or sites (for example video players or meeting URLs). While that window is in focus, time with no input still counts as active.

That setting is an admin rule—not an employee popup to keep or discard idle time, as you see in many timer products. OctoWatch does not use a separate “passive time” tier. For meeting-heavy roles, use categorization, and optionally webcam and microphone capture on Employee Monitoring plans.

Expected hours, overtime, and optional recording window

Attach a Timetable Profile to define expected work hours. Timesheet compares actual active time to that schedule and highlights absences, tardiness, early departures, and overtime. The Anomalies tab pulls the same Timetable exceptions into one place.

Optionally enable Record Only During Working Hours in Settings Profile → Other options so the Grabber limits capture to scheduled hours. Profile assignment, Timetable, and access control are covered on Monitoring Profiles.

Scenarios teams solve with active and idle data

Attendance without punch clocks

Timesheet derives arrival and departure from first and last active activity—automatic attendance for office and remote Windows PCs.

Overtime and underperformance

Compare active hours to Timetable expectations. Red and green Timesheet indicators flag short days, weekend work, and overtime patterns.

Meeting-heavy roles

Use Always Active Time for conferencing and video apps. Check Chrono and Day viewer when keyboard idle stretches look long.

Long unexplained gaps

Day viewer unfilled bands and Chrono gaps highlight inactive stretches. Add Screens on Employee Monitoring when you need visual context.

Terminal Server floors

Per-session active and inactive tracking on RDS hosts—same Grabber model as desktops. See Terminal Server & RDS Monitoring.

Shift and schedule adherence

Attach a Timetable Profile before performance reviews. Timesheet flags tardiness, early leave, and overtime; Anomalies groups schedule exceptions for HR and ops.

Admin best practices for idle time tracking

Treat idle data as a conversation starter, not a scorecard on its own. A few setup habits keep the numbers fair and usable.

Threshold

Tune per role, not one global number

Start with the default 30 sec delay. Give call-center or data-entry teams a shorter threshold and research or creative roles a longer one through separate Settings Profiles.

Meetings

Configure Always Active Time first

Before you question long inactive stretches, mark conferencing and video apps as Always Active Time in Categorization. That step alone clears most false idle flags for meeting-heavy staff.

Policy

Disclose monitoring when required

Monitoring runs in stealth by default. Enable Show monitoring warning or Allow user to enable/disable monitoring when your acceptable-use policy requires notice—see Stealth & Transparent Monitoring.

Access

Limit who sees attendance data

Restrict managers to Activity, Timesheet, and Productivity in Profiles & Access. Keep idle and attendance data limited to people with a real need to see it.

Idle time tracking for remote and hybrid teams

Remote and hybrid work removes walk-by visibility. OctoWatch uses the same Grabber baseline whether the PC is in the office or at home: active, inactive, and presence metrics in Overview, Activity, and Analytics for the selected period.

Managers can compare teams without daily status meetings. Analytics → Presence and Activity compares groups to period averages; Productivity shows how active minutes split across categories. More on hybrid workforce monitoring is on Remote & Hybrid Workforce Monitoring. Deploy options are on Cloud and On-Premise.

OctoWatch does not guess office vs home from IP address alone. To compare locations or teams, assign profiles and review the same Activity and Timesheet views for each group.

How to set up active and idle time monitoring

Four steps from agent install to attendance reports. Cloud and On-Premise use the same console views.

1

Deploy Grabber

Install on Windows PCs with manual setup, Group Policy, or the Installation Utility. On RDS hosts, the agent tracks each session. Get the Grabber from the download page.

2

Enable Activity

Turn on Activity in each user’s Settings Profile. Set Delay before switching to inactive mode (start with 30 sec).

3

Attach Timetable

Assign a Timetable Profile for expected hours. Optionally enable Record Only During Working Hours in Other options.

4

Review reports

Open Timesheet, Chrono, and Analytics → Presence and Activity. Adjust categories and Always Active Time for meeting-heavy roles.

Automatic tracking vs manual timers

Question Manual timer tools OctoWatch
Clock-in required? Yes—employee starts and stops a timer No—Grabber tracks in the background
Who classifies idle time? Employee often keeps or discards idle prompts Admin-defined threshold and profiles; inactive labeled in console reports
Windows fleet + RDS Varies; many products are multi-OS SaaS timers Windows workstations and Terminal Server / RDS sessions; Cloud or On-Premise
Brief pauses at the desk Often counted as idle unless the employee dismisses a prompt Pauses shorter than the inactive delay stay active (default 30 sec grace)
Real-time idle visibility Varies; some dashboards show live active/idle state Period-based Overview and Analytics; Live View on Employee Monitoring for real-time screens
Meeting time without keyboard input Employee may discard idle prompts or under-report Admin sets Always Active Time categories for conferencing and video apps

For a fuller comparison of Time Tracking vs timers and personal trackers, see Time Tracking.

Plans and deployment

Time Tracking includes Activity measurement, Chrono, Timesheet, Productivity views, and attendance analytics. Employee Monitoring adds Live view, Screens, keystrokes, Risks, and DLP channels when you enable them in Settings Profiles. Both editions use the same inactive threshold rules.

Deploy on Cloud (hosted Web Console) or On-Premise (your Server and database). Licenses are floating by active tracked users; Web Console operators are unlimited. Calculate seats on Pricing. Export data through the REST API when you need custom reporting.

Use Report delivery in the Web Console to email recurring Activity, Timesheet, or Productivity summaries to operators—no manual exports every week. Deeper analytics views are on Reports & Analytics.

Trust, transparency, and scope

Idle tracking works best when employees know what is measured and managers see only what they need. OctoWatch keeps Activity metrics (active, inactive, presence) separate from deeper Employee Monitoring capture. Screens, keystroke content, Live view, and DLP channels stay off unless you turn them on in Settings Profiles on the Employee Monitoring plan.

Monitoring runs in stealth by default. Turn on Show monitoring warning when policy requires disclosed attendance tracking. Limit capture to scheduled hours with Record Only During Working Hours and a Timetable Profile. Document lawful basis and retention in your internal policy; see GDPR Compliance and Security & Compliance.

What Activity measures vs what it does not

Measured with Activity enabled Not part of idle / Activity tracking
Keyboard and mouse activity (active vs inactive) Keystroke content (requires keylogger on Employee Monitoring)
Presence, Timesheet, Chrono, Day viewer totals Screenshot or video images (Employee Monitoring when enabled)
Per-app and per-site active / inactive columns Personal phones, Mac, Linux, or mobile endpoints
Productivity category colors on Activity rows Dedicated idle-time email Rules (use Timetable + Anomalies instead)
Scheduled Report delivery and REST API export Mouse-jiggler or AI fraud detection (not in OctoWatch docs)

Clear scope helps HR and ops line idle metrics up with acceptable-use policy, role-based console access, and the right plan depth.

Frequently asked questions

What is idle time in employee monitoring?

Idle time (called inactive time in the OctoWatch console) is when the PC receives no keyboard or mouse input for longer than your configured threshold while a session is open. It shows how much of paid computer time was engaged vs away from the desk.

How does OctoWatch define active vs inactive time?

Active time is when the user moves the mouse or presses keys, plus the delay before inactive mode starts. Inactive time begins after that delay with no new input. Marketing copy says “idle”; console reports say “inactive.”

What is the default inactive threshold?

30 seconds without mouse or keyboard input (Settings Profile → Activity → Delay before switching to inactive mode). Change it per profile for different roles or groups.

What is the difference between active time and idle time?

Active time reflects input-driven engagement. Idle (inactive) time is stretches with no input after the threshold. Active time drives Timesheet attendance; long idle stretches show up in Day viewer and Analytics.

What is the difference between presence time and active time?

Presence time runs from the first to the last activity of the day. Active time sums only input-driven periods. Someone can show long presence but lower active time if they stayed at the PC with frequent breaks.

Does OctoWatch require employees to clock in?

No. The Grabber records activity automatically. There is no manual start/stop timer. First activity marks workday start and last activity marks end in Timesheet views.

How is idle time calculated in OctoWatch?

When input stops, the Grabber waits for the configured inactive delay, then logs time as inactive until input resumes. Active time accumulates during input periods. Presence time comes from first and last activity timestamps for the day.

Does idle tracking count video calls and meetings as active?

Only if you enable Always Active Time for the relevant apps or sites in Categorization, or if there is keyboard or mouse activity during the session. Otherwise long calls may look inactive until you configure them.

Is employee idle time monitoring legal?

Laws vary by country and industry. Employers typically need a lawful basis, a clear policy, and proportionate scope on company-owned devices. See GDPR Compliance and Security & Compliance, and talk to counsel for your jurisdiction.

Does active and idle monitoring work on Terminal Server sessions?

Yes. Install the Grabber on Windows Terminal Server and RDS hosts. Each user session is tracked separately with the same active/inactive logic as a desktop PC.

Can I set different idle thresholds for different teams?

Yes. Create separate Settings Profiles with different Delay before switching to inactive mode values and assign them per user or group.

Can OctoWatch send scheduled reports on active and idle time?

Yes. Use Report delivery in the Web Console to email recurring Activity, Timesheet, or Productivity summaries. Export raw data through the REST API for custom dashboards.

Does OctoWatch alert when someone is idle too long?

There is no dedicated idle-duration Rule in the product docs. Schedule exceptions show up in Timesheet and Anomalies (tardiness, absences, overtime) when a Timetable Profile is attached. For real-time investigation on Employee Monitoring plans, use Live View.

Can employees see that idle time is being tracked?

By default, monitoring is stealth. Enable Show monitoring warning in the Settings Profile for transparent mode, or Allow user to enable/disable monitoring where the edition and policy allow—see Stealth & Transparent Monitoring.
